These Booking Terms & Conditions apply to travel arrangements organised by PT Pacebo Tours, hereafter referred to as “Pacebo”, “we”, “us”, or “our”.

By confirming a booking, paying a deposit, or making full payment, the person making the booking confirms that they have read, understood, and accepted these terms on behalf of themselves and all travellers included in the booking.

Your booking is also subject to the confirmed itinerary, quotation, invoice, and any additional conditions stated in your travel proposal.

1. BOOKING CONFIRMATION

A booking is considered confirmed only when:

  1. Pacebo has received the required deposit or full payment;
  2. We have issued a written booking confirmation or updated invoice; and
  3. Any required traveller information has been provided.

Submitting an enquiry or receiving a quotation does not guarantee availability.

The person making the booking must be at least 18 years old and is responsible for providing accurate information to all travellers included in the booking.

2. TRAVEL DOCUMENTS AND INFORMATION

Travellers must provide all requested information accurately and within the specified timeframe, including:

  1. Full name as shown in the passport;
  2. Passport copy and validity details;
  3. Date of birth and nationality;
  4. Arrival and departure information;
  5. Dietary requirements;
  6. Allergies and medical conditions;
  7. Emergency contact information; and
  8. Any mobility or accessibility requirements.

Pacebo is not responsible for additional costs, denied services, or travel disruption resulting from incorrect, incomplete, or late information supplied by the traveller.

3. PRICES

Prices are based on the itinerary, travel dates, number of participants, accommodation category, transportation, exchange rates, government fees, permits, and supplier costs available when the quotation is issued.

Unless stated otherwise, prices include only the services specifically listed under “Inclusions” in the confirmed itinerary.

International flights, domestic flights, visas, travel insurance, personal expenses, optional activities, gratuities, alcoholic beverages, excess baggage, and services not expressly included are excluded.

Pacebo reserves the right to correct pricing errors before a booking is confirmed.

After confirmation, prices may only be adjusted when necessary because of changes in government taxes, entrance fees, permits, transportation charges, fuel surcharges, currency fluctuations, or other costs outside Pacebo’s reasonable control.

Any adjustment will be explained before the additional payment becomes due.

4. DEPOSIT AND PAYMENT

Unless otherwise stated in the quotation:

  1. A non-refundable deposit of 20% of the total booking value, with a minimum deposit of USD 300 or its equivalent, is required to confirm the booking.
  2. The remaining balance must be paid no later than 30 days before departure.
  3. Bookings made within 30 days of departure may require full payment immediately.
  4. Certain hotels, cruises, charter services, permits, special events, and remote expeditions may require a higher or non-refundable deposit.

Payment deadlines and supplier-specific conditions will be stated in the proposal or invoice.

Payments may be accepted in IDR, USD, EUR, or another currency approved by Pacebo. The traveller is responsible for bank charges, intermediary bank fees, currency conversion costs, and transfer fees.

Credit-card payments are subject to an additional processing fee of up to 5%, where applicable and disclosed before payment.

Failure to pay by the stated deadline may be treated as a cancellation by the traveller.

5. CANCELLATION BY THE TRAVELLER

Cancellation requests must be submitted to Pacebo in writing.

Unless stricter supplier conditions have been disclosed, the following cancellation charges apply:

  1. More than 30 days before departure: the deposit is non-refundable.
  2. 30–21 days before departure: 50% of the total booking value.
  3. 20–16 days before departure: 80% of the total booking value.
  4. 15 days or fewer before departure: 100% of the total booking value.

No refund will be provided for:

  1. No-shows;
  2. Late arrival;
  3. Early departure;
  4. Unused accommodation, meals, transportation, activities, or services;
  5. Voluntary withdrawal during the journey; or
  6. Services missed because of flight delays, cancellations, personal circumstances, or incomplete travel documents.

Where a supplier applies stricter cancellation conditions, those conditions will take priority if they were communicated in the quotation, proposal, or confirmation.

Refunds, where applicable, will be calculated after deducting non-refundable supplier payments, bank charges, administrative costs, and services already provided.

6. CHANGES REQUESTED BY THE TRAVELLER

Requests to change travel dates, accommodation, routing, activities, participant names, or other confirmed arrangements must be made in writing.

Changes are subject to availability and may result in:

  1. Recalculation of the journey price;
  2. Supplier amendment charges;
  3. Cancellation and rebooking fees;
  4. Additional transportation or accommodation costs; and
  5. Administrative charges.

Changing the departure date may be treated as a cancellation and new booking when the original suppliers cannot transfer the reservation.

Pacebo will make reasonable efforts to accommodate requests but cannot guarantee that changes will be possible.

7. CHANGES BY PACEBO

Travel in Indonesia, particularly in remote areas, may be affected by weather, sea conditions, road conditions, ceremonies, local events, government restrictions, flight changes, safety concerns, or circumstances beyond Pacebo’s control.

Pacebo may modify the itinerary, transportation, accommodation, guide, activity, or sequence of visits when reasonably necessary.

Where possible, we will provide an alternative of a similar standard and character.

Minor itinerary adjustments do not entitle the traveller to cancel or receive a refund.

A significant change will be communicated as soon as reasonably possible, together with the available alternatives.

8. FORCE MAJEURE

Pacebo is not responsible for failure to perform or changes caused by circumstances beyond our reasonable control, including but not limited to:

  1. Natural disasters;
  2. Severe weather or sea conditions;
  3. Floods, earthquakes, volcanic activity, or landslides;
  4. Epidemics, pandemics, or public-health restrictions;
  5. War, civil unrest, terrorism, or security incidents;
  6. Strikes or transportation disruption;
  7. Government action or border restrictions;
  8. Flight, ferry, or vessel cancellations;
  9. Closure of roads, airports, national parks, or cultural sites; and
  10. Unexpected changes imposed by local authorities or communities.

When force majeure affects a journey, Pacebo may alter, postpone, suspend, or cancel the affected services.

Any refund or travel credit will depend on the amount recoverable from hotels, transport providers, local operators, airlines, permit authorities, and other suppliers after deducting costs already incurred.

9. CANCELLATION BY PACEBO

Pacebo may cancel a journey when it cannot reasonably or safely be operated.

When Pacebo cancels for reasons within our control, the traveller may choose between:

  1. A suitable alternative journey;
  2. A travel credit; or
  3. A refund of payments received for services not provided.

Pacebo is not responsible for independently booked flights, accommodation, visas, insurance, or other arrangements outside the confirmed Pacebo booking.

Different provisions apply when cancellation results from force majeure or insufficient participation in a Small Group Journey.

PRIVATE JOURNEYS

10. PRIVATE JOURNEY BOOKINGS

A Private Journey is designed exclusively for the travellers named in the booking.

Private arrangements normally include private ground transportation and private guiding services as described in the itinerary. Hotels, restaurants, public attractions, boats, flights, ceremonies, and cultural sites may still be shared with other visitors.

The price of a Private Journey is calculated according to:

  1. Number of participants;
  2. Rooming arrangements;
  3. Vehicle category;
  4. Guide language;
  5. Travel dates;
  6. Journey duration; and
  7. Selected services.

If the number of participants decreases after confirmation, the price per person may increase. Pacebo will issue a revised quotation before the journey begins.

Adding participants is subject to vehicle capacity, room availability, permits, and other operational considerations.

11. PRIVATE JOURNEY FLEXIBILITY

Private Journeys may provide greater flexibility than group departures, but all changes remain subject to:

  1. Opening hours;
  2. Local conditions;
  3. Travel distances;
  4. Safety considerations;
  5. Community permission;
  6. Guide working hours; and
  7. Supplier availability.

Travellers may request reasonable adjustments during the journey. Any additional costs must be paid locally or added to the final invoice.

Services removed or declined during the journey are non-refundable.

12. PRIVATE TRANSPORTATION

The confirmed vehicle category is based on the group size, luggage volume, road conditions, and destination.

Pacebo may substitute the vehicle when necessary for safety, road access, maintenance, or operational reasons. Any substitute will be selected to provide a reasonably comparable level of service.

Air-conditioning may be limited or unavailable in boats, traditional vehicles, remote areas, and certain local transportation.

SMALL GROUP JOURNEYS

13. SMALL GROUP DEPARTURES

A Small Group Journey is operated for travellers who may not know one another and who share transportation, guiding services, activities, and other arrangements.

The maximum group size and any minimum participation requirement will be stated on the journey page or booking confirmation.

Travellers must respect the scheduled departure times and follow instructions from the Tour Director, guide, driver, or Pacebo representative.

The itinerary cannot normally be changed to accommodate individual preferences when doing so would affect the group.

14. MINIMUM PARTICIPATION

Certain Small Group Journeys require a minimum number of participants.

When the minimum number has not been reached, Pacebo may:

  1. Operate the journey with a smaller group;
  2. Offer a revised price;
  3. Transfer the booking to another departure;
  4. Offer an alternative journey; or
  5. Cancel the departure and refund payments received for the Pacebo land arrangements.

Pacebo will communicate the available options within a reasonable period before departure.

Travellers should not purchase non-refundable flights or other independent services until the departure status has been confirmed.

Pacebo is not responsible for costs relating to independently booked arrangements when a group departure is cancelled.

15. ROOMING AND SINGLE SUPPLEMENTS

Small Group Journey prices are normally based on twin-share accommodation unless otherwise stated.

Travellers requesting a private room must pay the applicable single supplement.

Where roommate matching is offered, Pacebo cannot guarantee that a suitable roommate will be available. If no roommate can be matched, the traveller may be required to pay the single supplement.

Roommate compatibility cannot be guaranteed and differences in personal habits do not constitute grounds for compensation or cancellation.

16. GROUP CONDUCT

Travellers must behave respectfully toward:

  1. Other group members;
  2. Guides, drivers, hotel employees, and local partners;
  3. Traditional communities;
  4. Religious and cultural practices;
  5. Wildlife and the natural environment.

Pacebo may remove a traveller from the journey when their behaviour is threatening, abusive, discriminatory, repeatedly disruptive, illegal, unsafe, or seriously affects the experience of other participants.

Any traveller removed from a journey is responsible for their onward transportation and accommodation. No refund will be provided for unused services.

17. LEAVING THE GROUP

Travellers who choose to leave the scheduled group programme temporarily or permanently do so at their own risk and expense.

Pacebo is not responsible for arranging alternative transportation, activities, meals, or accommodation unless agreed in advance.

The traveller must inform the Tour Director or guide before leaving the group.

TAILOR-MADE JOURNEYS

18. TAILOR-MADE PROPOSALS

A Tailor-Made Journey is individually designed according to the traveller’s interests, dates, budget, preferred accommodation, transportation, and special requirements.

A proposal remains subject to availability until the required deposit has been received and all services have been confirmed.

Quotations are valid only for the period stated in the proposal.

Prices may change when:

  1. Travel dates change;
  2. The number of participants changes;
  3. Room categories or hotels change;
  4. The itinerary or duration changes;
  5. Additional services are requested;
  6. Supplier rates change before confirmation; or
  7. The quotation validity period expires.

19. CUSTOM PLANNING AND REVISIONS

Pacebo will provide reasonable itinerary revisions during the planning process.

Extensive redesign, repeated changes, specialist research, charter arrangements, expedition logistics, exclusive access, or complex permit applications may require a planning or administrative fee.

Any such fee will be disclosed before it is charged.

After confirmation, all revisions are subject to availability, price adjustments, and supplier amendment or cancellation fees.

20. SPECIAL SERVICES AND NON-REFUNDABLE ARRANGEMENTS

Tailor-Made Journeys may include services that require advance payment, including:

  1. Exclusive accommodation;
  2. Private villas;
  3. Charter flights or boats;
  4. Specialist guides;
  5. Expedition teams;
  6. Cultural ceremonies;
  7. Remote-area permits;
  8. National park permits;
  9. Community contributions; and
  10. Special transportation.

Payments made to secure these services may be partially or fully non-refundable.

Any special payment and cancellation conditions will be clearly identified in the proposal or invoice and will take priority over the standard cancellation schedule.

21. TRAVELLER-REQUESTED EXPERIENCES

Pacebo may assist with requests for private ceremonies, community visits, wildlife encounters, photography access, drone permits, or other special experiences.

These experiences remain subject to local permission, cultural protocols, environmental conditions, wildlife behaviour, government regulations, and community decisions.

Pacebo cannot guarantee ceremonies, wildlife sightings, or access to communities and sites controlled by third parties.

GENERAL TRAVEL CONDITIONS

22. PASSPORTS, VISAS, AND ENTRY REQUIREMENTS

Travellers are responsible for ensuring that they possess valid passports, visas, permits, vaccination certificates, and all other documents required for their journey.

Passport and visa requirements may vary according to nationality and destination.

Pacebo may provide general information but does not accept responsibility for decisions made by immigration, customs, health, or other government authorities.

No refund will be provided when a traveller is unable to participate because of incomplete or invalid documents.

23. HEALTH, FITNESS, AND MOBILITY

Travellers must assess whether they are physically and medically able to participate in the selected journey.

Certain journeys may involve:

  1. Long road journeys;
  2. Uneven ground;
  3. Stairs and steep paths;
  4. Boat transfers;
  5. Humid or hot conditions;
  6. High-altitude areas;
  7. Basic accommodation;
  8. Limited medical facilities; and
  9. Remote locations with delayed emergency assistance.

Relevant medical conditions, allergies, disabilities, pregnancy, dietary restrictions, and mobility limitations must be disclosed before booking.

Pacebo will make reasonable efforts to assist but cannot guarantee that every destination, vehicle, hotel, or activity will be fully accessible.

Pacebo may decline or restrict participation in an activity when there are reasonable safety concerns.

24. TRAVEL INSURANCE

Comprehensive travel insurance is strongly recommended for all travellers and may be required for certain expeditionary or remote journeys.

Insurance should include, where appropriate:

  1. Trip cancellation and interruption;
  2. Medical treatment;
  3. Emergency evacuation and repatriation;
  4. Personal accident;
  5. Lost or damaged baggage;
  6. Flight disruption; and
  7. Activities included in the itinerary.

Travellers are responsible for understanding the conditions and exclusions of their insurance policy.

25. FLIGHTS AND TRANSPORTATION DELAYS

Flight, ferry, train, and boat schedules may change without notice.

Pacebo is not responsible for delays, cancellations, missed connections, schedule changes, or baggage problems caused by airlines or other transportation providers.

Where possible, we will assist with alternative arrangements. Additional costs resulting from transportation disruption are payable by the traveller unless covered by the responsible supplier or travel insurance.

26. ACCOMMODATION

Accommodation standards, room sizes, facilities, and service levels may vary between destinations, particularly in remote regions.

Specific rooms, floors, views, adjoining rooms, or bedding configurations are subject to availability and cannot be guaranteed unless confirmed in writing.

Pacebo may substitute accommodation with a reasonably comparable alternative when the confirmed property becomes unavailable.

27. MEALS AND DIETARY REQUIREMENTS

Pacebo will make reasonable efforts to communicate dietary requirements and allergies to restaurants, hotels, guides, and local partners.

However, Pacebo cannot guarantee an entirely allergen-free environment or prevent cross-contamination.

Travellers with severe allergies must carry appropriate medication and communicate their requirements directly to the guide whenever food is served.

Special diets may be difficult to accommodate in remote areas.

28. CULTURAL AND COMMUNITY VISITS

Travellers must respect local traditions, community instructions, religious customs, photography restrictions, dress requirements, and cultural protocols.

Visits to traditional communities are privileges rather than guaranteed commercial attractions.

Access may be restricted, changed, or withdrawn by community leaders without prior notice.

Photography, filming, drone use, and the distribution of gifts or money must follow the instructions of the guide and local community.

29. WILDLIFE AND NATURAL EXPERIENCES

Wildlife sightings and natural phenomena cannot be guaranteed.

Travellers must follow all instructions relating to wildlife distance, environmental protection, national park regulations, and personal safety.

Pacebo may cancel or modify an activity when environmental or safety conditions are unsuitable.

30. PERSONAL BELONGINGS AND BAGGAGE

Travellers are responsible for their baggage, money, passports, electronic equipment, and personal belongings.

Pacebo is not responsible for loss, theft, or damage unless directly caused by Pacebo’s proven negligence and subject to applicable law.

Baggage allowances may be limited on domestic flights, charter aircraft, boats, expedition vehicles, and remote journeys.

Additional baggage costs are payable by the traveller.

31. THIRD-PARTY SUPPLIERS

Pacebo works with hotels, airlines, transport companies, boat operators, guides, restaurants, communities, and other independent suppliers.

These suppliers operate under their own conditions and remain responsible for providing their respective services.

Pacebo will exercise reasonable care when selecting and coordinating suppliers but is not responsible for acts or omissions outside our reasonable control, except where responsibility cannot legally be excluded.

32. LIABILITY

To the extent permitted by applicable law, Pacebo is not liable for loss, damage, delay, injury, inconvenience, or additional expense caused by:

  1. The traveller’s own actions or omissions;
  2. Another traveller;
  3. Independent suppliers;
  4. Force majeure;
  5. Failure to follow instructions;
  6. Undisclosed medical conditions;
  7. Illegal or reckless conduct; or
  8. Services arranged independently of Pacebo.

Nothing in these terms excludes liability that cannot legally be limited or excluded, including liability arising from proven fraud, wilful misconduct, or gross negligence.

33. COMPLAINTS

Any concern arising during the journey should be reported immediately to the guide, Tour Director, supplier, or Pacebo representative so that reasonable efforts can be made to resolve it.

When the matter cannot be resolved during the journey, a written complaint should be submitted to Pacebo within 14 days after the journey ends, together with relevant details and supporting documents.

Delays in reporting a problem may limit Pacebo’s ability to investigate or provide an appropriate solution.

34. PERSONAL DATA

Pacebo may collect and process personal information required to arrange the journey, including passport details, contact information, travel plans, dietary requirements, and relevant health or accessibility information.

Information may be shared with hotels, airlines, guides, transport providers, authorities, insurers, and other parties only when reasonably necessary to provide the booked services or comply with legal obligations.

Pacebo will take reasonable measures to protect personal information and will not sell traveller information to third parties.

35. PHOTOGRAPHY AND MARKETING

Pacebo may occasionally take photographs or videos during a journey.

Images that clearly identify a traveller will not be used for commercial marketing without permission, except for incidental appearances in general group or destination imagery where permitted by law.

Travellers who do not wish to be photographed should inform Pacebo or the guide.

36. WEBSITE INFORMATION

Pacebo makes reasonable efforts to ensure that website descriptions, photographs, maps, itineraries, and prices are accurate.

Photographs are illustrative and may not represent the exact conditions, room, vehicle, weather, landscape, ceremony, or experience encountered during a particular departure.

Website content may be updated without prior notice.

37. GOVERNING LAW AND DISPUTE RESOLUTION

These Booking Terms & Conditions are governed by the laws of the Republic of Indonesia.

The traveller and Pacebo agree to attempt to resolve any dispute through good-faith communication and negotiation.

When a dispute cannot be resolved amicably, it may be submitted to the competent authorities or courts in Makassar, Indonesia, subject to any mandatory consumer-protection rights and applicable dispute-resolution procedures.

38. SEVERABILITY

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

39. ACCEPTANCE OF TERMS

Payment of a deposit or full balance constitutes acceptance of:

  1. These Booking Terms & Conditions;
  2. The confirmed itinerary;
  3. The quotation and invoice;
  4. Any supplier-specific conditions disclosed before booking; and
  5. Pacebo’s applicable privacy and cultural-visit policies.

The person making the booking confirms that they are authorised to accept these conditions on behalf of every traveller included in the booking.
